Staff Guide
Everything you need to know about using the BDS Portal. Select your role below to see what's relevant to you.

Getting Started
Signing In
Click Sign In in the bottom-left corner of the sidebar and enter your 4-digit PIN. You'll see only the pages relevant to your role.
Navigation
Use the sidebar on the left to move between pages. On mobile, tap the menu icon at the top-left. The sidebar collapses on laptops — click the arrow to expand.
Changing Your PIN
Click the settings cog next to your name in the bottom-left. Enter your current PIN, then your new PIN twice. Your PIN must be 4 digits.
Mobile Use
The portal is built for iPhones and iPads. Add it to your home screen: tap Share → Add to Home Screen for an app-like experience with no browser chrome.

Allow location or manually move the map to your target area

Tip: Use the Bookmark flag on promising leads — they'll appear highlighted on the map next time.
Solar Calculator

Build instant solar proposals on-site. Upload a power bill or type in usage — get system size, savings, and payback period in seconds.

Enter customer's average monthly power bill (or upload a PDF/photo)

Select tariff type (peak/off-peak or flat rate)

Booking Form

Submit a new appointment booking when a customer agrees to a site survey. The office is notified automatically.

Fill in the customer's name, phone, address, and preferred date/time

Add any notes (e.g. gate code, roof type, usage details)

Submit — the office team gets an email and it appears in Bookings Inbox

Tip: Always include the customer's email — they'll receive a confirmation automatically.

Access BDS sales presentations during a customer meeting. Full-screen mode is perfect for iPad demos.

Jobs
All roles
Track every installation job from booking through to STC claim. See where each job is at any time and advance it through stages.

View all jobs or filter by stage using the tabs at the top

Click a job to see full details — customer, system, dates, installer

Use "Advance to [Next Stage]" to move the job forward

Add notes to log any updates, calls, or issues

Tickets
All roles
Raise and track internal issues — warranty claims, scheduling problems, complaints, or support requests. Priorities P1–P4.

Click "New Ticket" and fill in the title, category, and priority

P1 = Critical (system down), P2 = Urgent, P3 = Normal, P4 = Low

Assign to a team member and add comments to track progress

Close the ticket when resolved

Tip: P1 tickets notify the assigned person via email — use P1 only for genuine emergencies.
Bookings Inbox
Office · Admin · Management
Review and manage all appointment bookings submitted by the sales team. Update status and add notes as bookings progress.

Update status as the booking progresses (Confirmed, Surveyed, etc.)

Add notes to log calls made, changes requested, or special instructions

Stock Console
Stock · Warehouse · Office · Admin
Manage all inventory — panels, inverters, cables, hardware. Track stock levels, record movements, and get low-stock alerts.

Browse items by category or search by name

Click an item to see its current quantity and movement history

Use "+ Stock In" / "− Stock Out" to record movements with job reference

Items at or below min qty appear in the red sidebar alert

Tip: Always add a job reference when taking stock out — this links movements to specific installations.
Warehouse Map
Stock · Warehouse · Admin
Visual rack-and-shelf map of the warehouse. Find exactly where any stock item is stored — click a location to see what's there.

The company knowledge base. Find procedures, product specs, rebate info, and scripts for handling customer objections.

Ask questions in plain English — about solar, products, pricing, objections, or rebates. The AI reads the Wiki and answers instantly.

Tip: The AI works best with specific questions — e.g. "What's the STC rebate for a 15kW system in QLD?" rather than "tell me about solar".
